[svccridesupdate] Updated Privacy Policy for SVCC

The SVCC committee have recently had a discussion about the taking of photos and the making of video recordings on Club Rides and what happens to the photos and videos that have been taken.
We have become more aware of this as a result of our new WhatsApp group, which has provided an opportunity to share images and videos easily, but it is not just an issue with the WhatsApp group or other social media.
Under GDPR legislation, photos and video footage count as personal data, that is “any information relating to an identified or identifiable natural person.”
We have thought carefully about issues around consent and the responsibilities of the SVCC as the Data Controller. Dave Hassall has written a new Privacy Policy which we have all agreed. It can be found on our website here: https://www.stroudvalleyscyclingclub.org.uk/privacy-policy-2024/

Some of the main practical implications arising from the Policy relate to photos and videos and key points to note are as follows:
- If anyone wants a photo of them which currently appears on the club website or Facebook page Stroud Valleys Cycling Club or Facebook group Stroud Valleys CC to be removed, they should contact the Secretary (stroudvalleyscc@gmail.com) to request removal of the photo.
- The committee would be grateful if members of the club WhatsApp group clear all existing “chats” and delete all media as soon as possible (since we cannot in practice establish that relevant consents have been given). - For the future, photos of club riders can be loaded on the WhatsApp group provided everyone in the picture has consented – in practice the person taking the photo should give everyone the opportunity to consent and/or anyone in the frame should remove themselves from the group being photographed (and the person taking the photo should allow for this to happen).
- For the future (for the reasons explained in the Policy) videos should not be taken of riders on a club ride. The one exception from this is where a club member makes a video recording in case of an accident (to use as evidence of the accident) BUT this video must not be published anywhere including social media sites like WhatsApp and the maker of the video should delete the footage after one week.
